Position Overview:

The Accounts Receivable (A/R) Grant Assistant will play an essential role in the financial management of RTTB. Reporting to the Controller, this position will be responsible for maintaining our accounts receivable function across various revenue streams, including managing invoices for grant contracts, reimbursements, and other grant funding. The A/R Grant Assistant will maintain detailed documentation of all grants awarded, ensuring adherence to grant requirements and approved budgets. This role will work closely with the Finance, Operations, and Development departments to ensure accuracy and compliance with all financial and grant-related processes.

Key Responsibilities:
  • Review and track grant awards and budgets to ensure proper recording of revenue.
  • Maintain up-to-date knowledge of RTTB's funding sources, grants, and contracts, ensuring the implementation of best practices.
  • Prepare and process invoices for grants and contracts in compliance with grant guidelines.
  • Monitor and follow up on outstanding grant receivables, ensuring timely collections and payment tracking.
  • Maintain accurate records of transactions related to grant funding, including invoice submissions, collections, and receipts.
  • Reconcile grant accounts and assist with grant closeout functions required by contract administration and sponsors.
  • Assist in the preparation of financial reports for grant-related income, expenditures, and receivables.
  • Collaborate with program managers and grant writers to provide financial documentation for grant reports and audits.
  • Maintain the accounts receivable (A/R) aging report, monitoring and managing account details for delayed payments and discrepancies.
  • Generate weekly aging reports for management, providing updates on past due accounts and collection issues.
  • Assist in pre- and post-award grant processes, ensuring all documents and schedules are updated and accurate.
  • Conduct regular budget reviews with program teams to ensure grants are expended according to their budgets.
  • Prepare and send lien releases and make reimbursement draw requests to programs.
  • Respond to inquiries regarding grant payments, outstanding invoices, and account status.
  • Perform other duties related to accounts receivable and grant management as assigned.

Education and Experience:
  • Associate's or Bachelor's degree in accounting, finance, or a related field, or equivalent work experience.
  • Minimum of two years of experience in accounts receivable, finance, or other accounting roles.
  • Experience working with grants, including federal, state, or private grants, is preferred.
  • Proficient in QuickBooks Online and other accounting software.
  • Experience working in a nonprofit organization is a plus.
  • Familiarity with fund accounting and nonprofit financial practices.
  • Strong mathematical skills and understanding of finance, accounting, and bookkeeping principles.
  • Superb time management, proactive work style, and attention to detail.

Skills and Qualifications:
  • Advanced proficiency in Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook.
  • Excellent data entry skills with high attention to accuracy.
  • Excellent written and verbal communication skills, with the ability to compose effective correspondence.
  • Strong interpersonal skills with the ability to build relationships within the organization and community.
  • Demonstrated analytical and strategic thinking capabilities.
  • Ability to handle confidential information with complete discretion.
